Our Approach
Plan
Sovereign Systems offers both consultancy and IT services. We help you plan and execute. Our focus: technologies that keep you in control of your product, with no uncertainty about third-party dependencies or access to sensitve information.
Understanding Your Organization
Whether you’re a small startup building infrastructure from scratch or an established organization rethinking how you do IT, we can help. You may currently rely on a service you’re happy with but need to ensure your business survives if it fails. Or maybe you want to bring everything you depend on in-house and take full responsibility for the services you provide.
We start by listening. Every organization is different, so we invest time in understanding your workflows, systems, and needs.
Crafting a Plan Together
Once we understand your organization, we start identifying risks. Where do you depend on third-party services? Where is that acceptable? Where does it threaten business continuity? Every organization is different, tolerances for risk and control vary.
It Doesn’t Have to Be All or Nothing
You may consider your favorite American Office Suite provider to be an acceptable dependency. But that doesn’t mean you have to be dead in the watter when their services are unavailable for any reason. Did you know that you can maintain independent backups of your entire MS365 environment, on your own devices, retained for as long as you need. Having such backups means that not only do you still have access to your data if Microsoft services are ever unavailable, it also means that when someone accidentally deletes a Teams channel (and it’s gone from SharePoint’s recycle bin), you can still recover it, for as long as your backup strategy allows.
Storage and Disaster Scenarios
Maybe you already store sensitive data on controlled infrastructure, but your backup strategy is not optimal. Should it be more automated? Are your files protected against bit rot? Is your storage pool actively monitored for disk degradation? We walk through the scenarios: what happens when one drive fails? Two drives? What if a location is destroyed or compromised? What if a device is stolen?
We help you choose the right approach. Self-hosted? National infrastructure from local providers who comply with local law? European cloud services? Or a hyperscaler with local backups as a safety net? It depends on factors specific to your situation, medical data, for instance, requires very different handling than product catalogues.
Change Management
We also consider the human side. Will these changes require retraining your staff? Do your teams have concerns? Large-scale IT transitions have a history of failing when they’re too ambitious too fast. We take small steps, involve your employees early, and make sure change management is part of the plan. Without considering this, it’s hard to set the right priorities.
A Pragmatic, Risk-Based Plan
The result is a plan that maps your critical dependencies, compliance exposure, and business continuity risks. Not every risk needs to be eliminated, some third-party dependencies make perfect business sense. We help you:
- Prioritize high-impact risks: what happens if a vendor changes pricing, discontinues a service, or gets acquired?
- Identify low-hanging fruit (easy wins that significantly increase sovereignty)
- Understand your alternatives before you need them
- Make informed decisions about which risks to accept and which to act on
Execute
Once the plan is approved, you it’s time for action. This can range from setting up a single backup server to building out a full sovereign infrastructure, it depends on what the plan calls for.
Do It Yourself or Partnership
Execute It Yourself - The plan is comprehensive and actionable. Organizations prefer to implement changes using their internal IT teams. This gives them complete control and builds internal expertise. We happily assist with the hand-off and remain open to questions and discussions.
Partner With Us - We can handle the implementation, working either directly or with trusted partners who share our commitment to sovereign, open-source solutions. We bring:
- Years of experience with sovereign systems like
- Data Storage Systems
- Self Hosted webapps and websites
- Sovereign (collaborative) office suites (i.e. Nextcloud)
- Knowledge of open-source and/or European alternatives to common SAAS products
- Expertise in data sovereignty and GDPR compliance
- A network of European service providers and infrastructure options
The Partnership Model
When you work with us on execution:
- We handle the technical implementation
- We keep you informed throughout the process
- We train your team on the new systems
Once implementation is complete, there are two paths forward: we draft a support contract and continue maintaining the systems for you, or we transfer ownership and your team takes over.
Own
There are two paths: you take full ownership, or we continue managing the systems for you under a support contract. Either way, we don’t replace one dependency with another. This phase is about making sure you have everything you need to operate and maintain your systems independently.
Even if we maintain your systems, we do so in a way that minimizes your dependency on us. You stay free to choose your service providers. If you decide another party should take over day-to-day support, we do our best to make sure that the transition is smooth.
What Ownership Means
Complete Control - You have root access, admin credentials, and full control over your infrastructure. There are no artificial limitations or proprietary lock-ins.
Knowledge Transfer - We document everything and train your team. You understand how your systems work, not just how to use them.
Maintenance Capability - You maximize your ability to maintain, update, and modify your systems without depending on us or other vendors, as much as possible.
Data Sovereignty - Your data lives where you choose. You decide who has access and under what conditions.
The Transfer Process
Complete Documentation - Every system, configuration, and integration is thoroughly documented. This includes:
- Architecture diagrams
- Configuration details and settings
- Backup and recovery procedures
- Troubleshooting guides
- Update and maintenance procedures
Team Training - We train your IT team on the new systems, ensuring they’re comfortable with day-to-day operations and basic troubleshooting.
Credential Handover - All administrative credentials, API keys, and access controls are securely transferred to you.
Source Code Access - For any custom development, you receive the complete source code and build instructions.
Optional: Managed Services
Ownership doesn’t mean you’re on your own. You may prefer to retain us for ongoing support:
Monitoring Services - We can monitor your systems and alert you to potential issues before they become problems.
Maintenance and Updates - We handle routine updates, security patches, and system maintenance.
On-Call Support - When something goes wrong, you have someone to call who knows your systems intimately.
Strategic Guidance - As your organization evolves, we help you maintain and expand your sovereign infrastructure.
“If There’s a Problem, You Call Us. We Fix It.”
This is the relationship we aim for: You own your systems completely. You’re not locked in. You could replace us tomorrow if needed. But many clients choose to keep us around because:
- We know their systems
- We respond quickly when problems arise
- We share their values around sovereignty and independence
The Difference
With traditional SAAS or managed services, you’re a customer. If the vendor changes pricing, discontinues a feature, or goes out of business, you’re stuck.
With sovereign systems and true ownership, you’re in control. We work for you, not the other way around.
